Start from the purpose

For each evidence field, ask which decision or diagnostic check it enables. If a synthetic fixture or aggregate count answers the same question, prefer it to a production record. Do not copy a complete support conversation just to preserve an error code.

Suggested evidence record

Keep the affected component, relevant version, error category, a safe correlation identifier and a minimal reproduction. Replace names, addresses and account details with synthetic values unless they are necessary and authorized for the task.

Example

To demonstrate that a parser rejects a postal code, preserve the smallest input that reproduces the format failure. There is usually no need to retain the customer's full address, email and order history. Verify that the synthetic replacement still triggers the same failure.

Acceptance and limits

Review screenshots, exception messages, filenames and URLs as well as structured fields. State who may access retained evidence and when it should be removed under the applicable policy. This is an original data-minimization checklist, not a legal compliance determination. Removing direct identifiers may still leave re-identifiable combinations; sensitive cases require appropriate privacy review.
