Keeping a home inventory of books or tools as a plain table: a stable identifier per item (the ISBN for books, a self-assigned code for tools), location codes with a legend, condition in a fixed vocabulary, lending fields and a periodic walk that marks what is missing instead of deleting it; no valuation or insurance advice is given.
What it is
An inventory is a table with one row per physical item and a small set of fields that stay the same for years: identifier, description, location, condition, date entered, date last seen. For books the natural identifier is the ISBN. Tools have no universal identifier, so the inventory assigns one (T-0042) and writes it on the tool or its case.
Why it matters
An inventory answers "do I already own this", "where is it" and "what is missing" from a table instead of from a search of the house. Lending becomes a row with a name and a date, and a move or a loss can be documented from records rather than from memory.
How to apply
- Choose the identifier rule first: for books the ISBN as printed, hyphens dropped; for books without one (older or self-published), a self-assigned
B-code. For tools, one code per item, not per set, unless the set never separates. - Location as a short code (
shelf-A3,box-red-2) defined in a legend. When an item moves, change the field; never move an item to match the table. - Description: title, author and edition for books; type, brand and size or capacity for tools; a photograph for anything without printed identity.
- Condition in a fixed vocabulary (fine, worn, damaged, parts missing) plus a free note, each dated.
- Lending:
lent_toandlent_onfields; on return, clear them and update the date last seen. - Check cycle: once or twice a year, walk the locations with the table sorted by location and tick every item. Anything not ticked becomes
missingwith the date, not a deleted row.
Pitfalls
Scanning barcodes is fast, but the scanner reads the ISBN of the edition in hand, which may differ from a catalogue record copied from elsewhere; the inventory records what you hold. Duplicate identifiers appear when two people add items; let one person assign codes, or allocate ranges. This article does not cover valuation, insurance or proof of ownership; the table is a record whose accuracy is only as good as its last check.
